Getting started

Signup, trial, first transaction — how to go from nothing to "books done" in under ten minutes.

How do I sign up?

Hit signup, enter your email and a password, and add your ABN and GST status. That's it — you're in, trial running, ready to log your first transaction.

You don't need a credit card to start the trial. You only add one if you decide to keep going.

How long is the free trial, and what's included?

30 days, full access to whichever plan you picked. Not a cut-down version — the real thing, so you can actually tell if Summed fits the way you work.

At the end of the trial, you add a card to continue or your account pauses. Your data is kept safe for 30 days either way.

Can I import data from Xero, MYOB, or a spreadsheet?

Yes. Export your transactions as a CSV from your current tool (every one supports this) and upload it in Summed's import screen. Summed will map the columns, auto-detect GST where it can, and flag anything that needs your eye.

Most sole traders finish the switch inside 30 minutes. If you've got a lot of history, hit support — we'll help you line it up.

How do I invite my accountant or bookkeeper?

From Settings → Team, enter their email and pick "Accountant" as the role. They'll get an email with a secure login link and immediate read access to your reports, transactions, and exports.

Accountant seats don't cost extra. One seat per account on Solo; unlimited on Crew.

How do I log my first receipt?

Open Summed on your phone, tap the big "+" button, and either snap a photo or tap "Type it in". The scanner pulls the total, date, and GST in about two seconds. Check it, pick a category (you'll see your most-used ones first), and save.

First one takes 30 seconds. After that, about 10.

What's included at $9 a month versus $29 a month?

Solo ($9/mo) is the full bookkeeper: manual entry, GST, BAS summary, receipt scanning, accountant export, staff tracking, weekly P&L. Enough to run a sole trader business end-to-end.

Crew ($29/mo) adds Square POS integration, bank CSV import, detailed BAS worksheet, multi-staff payroll summaries, priority support. The split is roughly "solo operator" vs "has a till and staff".

Are those prices GST inclusive?

Yes. $9/month and $29/month are AUD inc GST. Your Stripe tax invoice breaks out the GST component so you can claim it back on your next BAS.

Do you offer annual billing?

Yes. Solo is $84/year and Crew is $288/year — effectively two months free. Switch between monthly and annual any time from your billing page.

How do I cancel?

Settings → Billing → Cancel subscription. One click. No phone call, no "are you sure" carousel, no retention offer we hope you'll cave on.

Your subscription ends at the close of the current period, and you keep access until then. You can export everything before it expires.

Do you offer refunds?

Yes — within 30 days of paying, if Summed didn't work as described, we'll refund you. Beyond that, or for change-of-mind cancellations, no refund — but you're free to cancel and stop future charges immediately.

Data & security

Where your data lives, how it's protected, and how to get it back out.

Where is my data stored?

In Australia. Summed is hosted on AWS in the Sydney region (ap-southeast-2). Your transactions, receipts, and reports stay on Australian soil under Australian jurisdiction.

How is my data encrypted?

In transit: TLS 1.3 between your device and our servers. At rest: AES-256 on the database and file storage. Passwords aren't stored — only bcrypt hashes, which means even we can't see them.

We don't make infrastructure claims we can't back up. AWS Sydney is the underlying host; Summed itself is not SOC 2 certified, and we won't pretend otherwise.

How often do you back up my data?

Every day, automatically. Backups are retained for 30 days and encrypted with the same AES-256 standard as the live database.

If something ever goes sideways, we can restore your account to any point in the last 30 days. Your receipt images are stored separately with the same backup cadence.

Can I export my data if I leave?

Yes, and you don't have to leave to do it. Settings → Export gives you a zip with CSVs for transactions, staff, reports, plus the original receipt images. Download it any time.

When you close your account, we keep the minimum the ATO requires for business records (five years) and then delete the rest. Nothing stays longer than it has to.

BAS & tax

GST, BAS labels, the Australian financial year, and what Summed does (and doesn't) do on compliance.

Is Summed BAS-ready?

Yes. Every transaction you log carries its GST position, and Summed rolls them into the BAS labels the ATO expects — 1A (total sales), 1B (GST on sales), G10 (capital purchases), G11 (non-capital purchases), and net payable.

You can download a BAS summary CSV any time. Most users hand it straight to their registered tax agent or type the numbers into the ATO portal.

Does Summed lodge my BAS for me?

No. We're a record-keeping tool, not a registered BAS agent. Summed prepares the numbers; you or your agent does the lodgement.

If you'd like a human to lodge for you, ask your accountant or find a BAS agent at tpb.gov.au.

How does Summed calculate GST?

GST-inclusive amounts are split using the 1/11th rule — the standard Australian method. So a $110 GST-inclusive sale logs as $100 of revenue and $10 of GST, automatically.

You can mark any transaction as GST-free (for items like fresh food or health services) and Summed will keep it out of the GST calculation while still counting the revenue.

Does Summed use the Australian financial year?

Yes — 1 July to 30 June. Every report defaults to Australian FY, and BAS quarters run July-September, October-December, January-March, April-June.

Super rates are set for FY 2025-26 (12%) and will step up to 12.5% on 1 July 2026 automatically.

Accountant access

How to give your accountant what they need, and what they can (and can't) do inside Summed.

How do I invite my accountant?

Settings → Team → Invite. Enter their email and choose "Accountant" as the role. They get an email with a secure link, set their own password, and log in with read access to your books.

What can my accountant see and do?

They can see every transaction, every receipt image, every report, and can download the full quarterly or annual accountant package. They can also leave notes on individual transactions.

They can't change your plan, cancel your subscription, or log payroll for you. It's a read-plus-notes role — designed for a professional reviewing your books, not running them for you.
